Privacy policy.

How we gather, use, protect, and regulate personal data entrusted to us by our clients, end users, and job applicants.

Last updated · May 2026

At CalledOutSupport, we prioritize maintaining the highest standards of data security and operational transparency. Headquartered in Ghana with a footprint serving international enterprises globally, we offer bespoke customer support, SaaS management, and intelligent Back Office Solutions.

If there are ever discrepancies between this policy and international legal paradigms, the strictest protective legal standard available to the user shall govern.

01

Data We Process

CalledOutSupport processes selective classifications of data strictly necessary for fulfilling our operational and contractual mandates.

Client Institutional Data
Administrative contact details, organizational records, billing frameworks, and software integration credentials supplied by businesses partnering with us.
End-User Engagements
Inquiries, metadata, transcriptions, text communications, and transaction histories initiated by consumers engaging with our support channels on behalf of our enterprise clients.
Prospective Employee Data
CVs, background details, and contact identifiers provided during recruitment.
Digital Telemetry
Automatic logs such as IP configurations, device schemas, and necessary session cookies collected to maintain portal functionality.
02

Purposes of Data Processing

We process entrusted information decisively for operational excellence. We do not sell any personal or organizational data.

Core processing purposes include:

  • Provisioning resilient customer service and Multi Channel Back Office Administration as commissioned.
  • Monitoring platform reliability, agent quality assurance, and KPI tracking metrics.
  • Executing legally binding commercial contracts, processing payrolls, and navigating financial compliance protocols.
  • Identifying and suppressing fraudulent activities across support infrastructures.
03

Third Party Sharing

Information may be distributed to rigorously vetted third party vendors solely for structural support (for example, cloud hosting networks, integrated VOIP channels, and analytical SaaS dashboards). Subprocessors are bound by absolute Data Processing Agreements prohibiting the retention or auxiliary utilization of accessed profiles beyond the mandate required by CalledOutSupport.

In the event of a commercial reorganization, merger, or asset consolidation involving CalledOutSupport, localized data partitions may be transferred under the strictest continuation of privacy clauses already in effect.

04

International Data Transfers

As a global BPO operating primarily out of Ghana, CalledOutSupport manages transnational data flow. To secure international routing from regions like the European Union, United Kingdom, and North America, we align closely with the following frameworks:

Ghana Data Protection Act, 2012 (Act 843)
Enforces domestic architectural data protocols aligned with international norms.
Standard Contractual Clauses (SCCs)
Legally embed GDPR parity onto non-EU transfer conduits.
Data Privacy Framework Equivalencies
Recognize the rights of US citizens under structures paralleling the EU-U.S. adequacy principles.

Any global transfer executes via inherently encrypted transit layers.

05

Artificial Intelligence Processing

In our pursuit of industry leading resolution intervals, CalledOutSupport integrates localized Artificial Intelligence systems into our interaction flows.

Voice & Chat Transcription
Automated linguistic models may transcribe vocal exchanges and digital texts instantly. This enables real time compliance validation, sentiment observation, and automated ticket tagging.
Safeguards
AI structures operate within closed, tenant isolated environments. We do not syndicate live client end user data toward public foundation models or external data lakes under any configuration.
06

Your Privacy Rights

Whether dictated by the CCPA, GDPR, or other sovereign regulations, CalledOutSupport universally upholds your elemental rights over your data footprint.

Access & Interpolation
Obtain copies of the personal artifacts housed within our networks.
Correction
Instigate immediate rectifications to inherently distorted or expired data files.
Restriction & Erasure (Right to be Forgotten)
Demand the deletion of personal fragments, except where paramount legal obligations require archiving.
Portability
Extract proprietary personal datasets into a normalized, machine readable format.

To exercise these capabilities, end users should generally petition the primary Client (the data controller). If CalledOutSupport must intervene, please contact our compliance channels.

07

Security & Retention

We deploy AES-256 equivalent encryption across dormant databases and employ TLS 1.3 transit tunnels for active networking. All operational floors, both virtual and physical, operate under strict Zero Trust architectures enforced by IAM protocols.

Data lifetimes scale directly against the active tenure of business contracts. Unless mandated by federal litigation or accounting statutes, extraneous support logs are systematically purged after 2 to 3 years, and applicant records evaporate precisely 12 months after recruitment evaluations.

08

Compelled Disclosure

In exceedingly rare circumstances, CalledOutSupport may be legally compelled by sovereign courts, international tribunals, or law enforcement injunctions to unlock partitioned data structures. We inspect every disclosure request meticulously to confirm jurisdictional legality, prioritizing notification mechanisms for affected Clients unless explicitly gagged by judicial order.

09

Inquiries and Complaints

Should you hold unresolved questions regarding transparency, data transit limits, or suspected infractions across our operations, we invite immediate escalation to our Data Protection department. CalledOutSupport guarantees an active acknowledgment metric beneath 45 days.
